Business Capacity Planner

Webinar + Google Excel Planners + Workbook

Run your business solo without burning out or needing a team. Plan your time with clarity so you can see what’s realistic, spot bottlenecks early, and make decisions based on capacity, not pressure. Because when everything depends on you (your time, your energy, your decisions). You need a simple, honest way to manage it. Not a system that demands more of you. One that works with the business you actually have.

If you’re anything like most solopreneurs, you’re not short on ideas. You’re short on how to make the most of the time you have.

  • You say yes to work, then realise too late there aren’t enough hours in the week available for you to complete it. You end up pushing out something more personal to make it work, which impacts why you work for yourself in the first place.
  • You’re busy… but still behind. You want to grow but don’t know where to fit in the work to make that happen.
  • Admin expands to fill the time you have, and growth tasks keep getting pushed. It’s a circle you have trouble breaking.
  • You’re constantly rearranging your week because something always takes longer than expected. Working more but not on the right things.
  • You’re trying to plan in your head and it’s exhausting. The mental overload seeps into your weekends and you don’t feel like you are getting a break and start being a little resentful.

What if instead…

  • You could see your real capacity for client work, admin, and growth at a glance. See the amount you can do without taking from your evenings, weekends or family time.
  • You had a simple way to plan around your actual life (not your best-case fantasy week).
  • You could spot overload before it happens and feel confident when agreeing to an upcoming event or occasion, knowing you will make it.
  • You could look at your week and know, clearly, what you can say yes to and what needs to wait, without the spiralling guilt.
  • You could grow steadily without burning out, building a business you are proud of that gives you the balance your personal life deserves.

Does this sound familiar?

You’re doing the client work, keeping the inbox clear, chasing invoices, but by the time Friday comes, you’ve done nothing to actually grow the business. Again.

You take on a new project because the money is right, but two weeks in, you’re working evenings and wondering why you started your own business at all.

You’ve tried time-blocking, planning apps and colour-coded calendars yet you still end up winging it when the week gets messy. Which it always does.

You have a number in your head for what you want to earn, but no clear sense of whether the way you’re spending your time can actually get you there.

You want the business to give you freedom that allows you to be at school pick-up, take a proper weekend and say no to the clients who drain you, but right now it just feels like a job you can’t leave.

If any of that landed, the Business Capacity Planner was built for you. It won’t restructure your life overnight, but it will show you clearly what’s possible with the time you actually have.

A bit about me, and why I built this:

Before I built these planners, I was on the other side of this problem.

I spent 16 years in an office that was always going in the supply chain space. I was good at my job, good at managing workloads, good at building systems that helped teams function without chaos.

Then I left to build Ellie Tasks, and within 18 months I had to figure out how to apply all of that to a business with one person in it. ME.

What I found was that most of the planning tools out there were built for teams, not solopreneurs. They asked me to think in sprints and KPIs and capacity units when all I needed to know was:

Can I actually take this on, or will it cost me my Saturday?

So I built my own version. Based on Lean principles, not because I wanted to complicate things, but because Lean is essentially about one thing: making the most of what you have without waste.

Which is exactly what running a solo business requires.

Online Business Support

I’m Elaine. I’m a Lean Sigma Green Belt and Lean Business Systems and Operations Strategist. I’ve worked with solopreneurs and small service businesses to help them see their capacity clearly, build sustainable systems, and make decisions based on reality, not optimism.

The Business Capacity Planner is the same tool I use with clients. Simplified, adapted for people who are running everything solo, and priced so it’s not a decision you have to agonise over.

It’s not magic. It’s just clarity. And clarity changes things.

Introducing the Business Capacity Planner Bundle

A practical capacity-planning toolkit designed for solopreneurs who want to run their business solo, without burnout and without building a team.

You’ll be able to track where your time is going, plan what’s realistic, and spot bottlenecks before they derail your week or month.

Because when you can see your capacity clearly, you stop reacting and start deciding. That’s when the business starts working the way you actually wanted it to.

Don't just take my word for it.
Listen to some Feedback from previous clients

“This is so helpful. I’m terrible for never tracking my own business time, so I take on more client work thinking I have the capacity but not realising I’ve left no time for my own marketing. This was a great reminder to keep track of that time as well.”

“Incredibly comprehensive and really professionally delivered.”

“The information is really easy to understand, and as someone just starting out and with no idea of how much time I use it is incredibly useful”

Choose the planner style that fits how you think:

Each planner is designed to help you see your capacity, spot red flags early, decide on priorities, and identify what to automate or delegate.

Monthly Capacity Planner

Map out your full month before it starts. See where the heavy weeks are, where you’ve overloaded delivery, and where there’s actually room to take on something new. Instead of arriving at a busy week and realising too late, you spot it in advance — and plan around it before it costs you a weekend.

Weekly Capacity Planner

Sit down at the start of your week with a realistic picture of what’s actually possible. Client work, admin, growth tasks, all mapped against the hours you have. This is the planner most people use every week because it’s the one that stops you saying yes to something you can’t deliver.

Revenue-Based Capacity Planner

This one connects your time to your income goals. If you want to hit a certain revenue target, it shows you what you actually need to deliver to get there, and whether your current schedule has the capacity for it. Useful when you’re thinking about taking on a new client, changing your pricing, or planning a launch.

What's Included?

I built this so you can get into it straight away. No lengthy setup, no learning curve. Open a planner, follow the walkthrough, and you’ll have a clear picture of your capacity within the hour. Most people have their first useful insight before they even finish the webinar.

Why these planners work when other planning tools don’t

They were designed for service providers, not teams. No sprint planning, no tool that assumes you have a project manager. Just a clear view of your time, your revenue, and your capacity.

They connect your workload to your income goals. Most planning tools help you manage tasks. These help you see whether the way you’re spending your time can actually pay you what you want.

They help you make decisions based on constraints, not guilt. “Can I take this on?” is a real question. These planners give you a real answer, not a feeling.

They’re simple enough to use consistently. Lean design means nothing unnecessary. If a tool needs hours to maintain, it won’t get used. These take 15–20 minutes a week once you’re set up.

They were built for solopreneurs who are staying solo on purpose. Not “here’s how to scale and hire.” Just: here’s how to run a sustainable business with you at the centre of it.

Most people can plan in 15–30 minutes once they’re set up.

Yes. That’s exactly when capacity planning helps most. It gives you a baseline and a quick way to adjust.

No. The planners are designed to guide you step-by-step.

No, results depend on how you use the planners. What I can guarantee is a clear structure that makes your capacity visible and helps you make better decisions.

You don’t need to push harder. You need a plan that reflects reality.

One that accounts for school pick-up, the evenings you want back, the weekends that are supposed to be yours. Not just the hours you’re available for work, but the hours you’re not, and why that matters.

If you’re ready to stop overcommitting and start planning around the life you actually want to protect, this is a good place to start.
